How do I add a note to a date on my calendar?

You can attach a note to any date on your calendar — a reminder that a deep clean is booked, that a contractor needs access, or why a date is priced the way it is. The note stays on that date and shows on the calendar, so you don't have to keep the reason in your head.

Add a note to a date

  1. Open your Calendar

  2. Click a date to select it, or drag across several dates to select a range

  3. In the panel that opens, find the Notes section and click Add note

  4. Type your note, then click Save inside the Notes section

  5. Click Save on the panel to apply the rest of your changes

⚠️ Important: Save the note in the Notes section first. If you have unsaved note text and try to save the panel, Host Tools asks you to save the note before it will continue.

See your notes on the calendar

A date with a note shows a small note icon in its calendar day. Hover over the icon to read the note without opening the date.

Edit or remove a note

  1. Select the date on your calendar

  2. In the Notes section, edit the text — or clear it entirely to remove the note

  3. Click Save in the Notes section, then save the panel

FAQ

Is a date note the same as a reservation note?

No. A date note belongs to a date on your calendar, whether or not anything is booked on it. A reservation note belongs to a specific booking and is what appears on your turnover calendar for your cleaners.

Can I add one note across several dates?

Yes. Select the range first, then add the note — it applies to every date in the selection.

Do my guests see date notes?

No. Date notes are for you and your team inside Host Tools. They are never sent to guests and are not published to your connected channels.

Why can't I save a note?

Adding or changing a date note requires permission to edit availability. If your role doesn't include it, ask an account owner to update your permissions.
