Host Tools offers many different "tags" you can add to scheduled messages or quick replies. "Tags" extract information from a guest's specific reservation to personalize a message.
For example, this generic booking confirmation message:
Hi {{Guest First Name}}, Thanks for booking our place from {{Check-In Date}} to {{Check-Out Date}}. We'll send you detailed self-check-in instructions before your arrival, but in the meantime, please let me know if you have any questions.
Becomes a personalized response that looks like this:
Hi Naomi,
Thanks for booking our place from Sat, March 1st to Tue, March 11th. We'll send you detailed self-check-in instructions before your arrival, but in the meantime, please let me know if you have any questions.

Tags must match our format exactly, so it is best to choose a tag from our list rather than trying to type it out manually. You can also read this article to find out more about creating custom message tags.
Importing templates from another platform
If you're switching to Host Tools from another property management platform, you don't need to rewrite your message templates from scratch. When you paste a template that uses another platform's tag format into a message rule, Host Tools automatically detects the tags and offers to convert them to Host Tools format in one click.

After pasting, Host Tools highlights the detected tags and shows how many can be converted automatically. Tags that don't have a Host Tools equivalent are flagged so you can replace them manually before saving the rule.
💡 Pro tip: Not all tags from other platforms map to a Host Tools equivalent. For example, host contact details or platform-specific booking links may need to be replaced with a custom tag or removed from your template.
