How do I use AI to improve messages to guests?

How to use Host Tools "enhance" feature to fill out and improve messages to guests

Written by Tom Krones

Summary

Writing thoughtful messages to guests can take time, especially when you're juggling a lot of reservations. The Improve with AI feature on the inbox lets you type a quick, terse draft and have AI rewrite it as a polished, friendly message in seconds. You can review and edit the suggestion before sending β€” nothing is sent to your guest until you click Send.

This works in both the Host Tools website and the mobile app, and uses the context of the current reservation (guest name, check-in/check-out dates, listing name) to personalize the rewrite.

Using Improve with AI

  1. Click Inbox in the header menu.

  2. Open the conversation you want to reply to.

  3. Type a short draft of what you want to say in the message composer at the bottom β€” even a few words is enough (for example, "check-in is at 4pm, code is 1234").

  4. Click the sparkle icon (✨ Improve with AI) next to the send button. The composer will be replaced with a polished version of your message that includes a greeting, full sentences, and a friendly closing.

  5. Review the rewritten message and edit anything you'd like to change.

  6. Click Send when you're happy with it.

πŸ’‘ Pro tip: The improve feature works best when your draft includes the key facts β€” times, codes, addresses, dates. AI will turn the facts into a warmer, more readable message without changing the information you provided.

Why don't I see the sparkle icon?

The Improve with AI button only appears when there's text in the composer. Type a draft first, and the icon will show next to the send button. The button is hidden while a message is being sent.

How is this different from quick replies and AI auto-reply?

Improve with AI rewrites a message you have already drafted. If you'd like Host Tools to suggest a full reply for you based on your training data, see How to use AI to auto-reply to guests' messages and How do I train Host Tools AI to respond to my guests?.
