Summary
Host Tools AI replies to guest messages using listing-specific knowledge — the more context you give it, the better its answers will be. The AI Assistant settings page is where you train the AI for each listing. There are two kinds of training data you can manage there: Quick Replies and Questions & Answers. Both feed directly into the AI's response when a guest writes in.
⚠️ Important: The AI Assistant requires a Pro subscription. Listings on the Messaging plan can still use Host Tools' messaging features, but auto-replies and AI training are Pro features.
Opening the AI Assistant settings page
Click your profile picture in the upper right-hand corner and choose Settings.
Go to
Settings > Listingsand pick the listing you want to train.Click the AI Assistant tab.
This page contains all of the AI training and behavior settings for that listing.
Choosing how AI handles incoming messages
At the top of the AI Assistant page is the Auto-Response Mode drop-down. Pick the behavior you want:
Disabled — AI doesn't draft anything for this listing.
AI Suggestions Only — AI drafts a reply you can review and edit before sending.
Auto-Send Messages — AI replies on its own. You can fine-tune this with the Min Confidence slider (default 80%) and the Require Positive Sentiment toggle so AI only auto-sends when it's confident, and the guest's tone is positive.
Adding Quick Replies as training data
Quick Replies are short, named snippets of information you'd typically share with guests — things like Wi-Fi password, parking instructions, the smart-lock code policy, or check-in details. Even if you never use a quick reply manually, the AI reads it as training data and uses it to answer related guest questions.
Scroll to the Quick Replies section on the AI Assistant tab.
Click Add Quick Reply.
Enter a Name (the topic, e.g., "Laundry") and the Text (the answer the AI should know).
Set the Scope: a single Listing, a Listing Group, or All Listings. Account-wide quick replies (All Listings) are great for things that apply to every property, while listing-scoped ones are best for property-specific facts.
Click Save.
💡 Pro tip: If a guest asks something and the AI replies "I don't know," that's your cue to add a quick reply on that topic. The AI will use it the next time anyone asks.
Editing Questions & Answers
The Questions & Answers section is a library of question-and-answer pairs that Host Tools extracts from your past guest conversations. Each pair has a guest-style question and the answer you (or the AI) gave at the time. The AI uses similarity matching to find the most relevant pairs when a new guest asks something close to a previous question.
Scroll to the Questions & Answers section. You'll see a table of existing pairs.
Click any row's Edit action to refine the question or answer.
Use the per-row Status toggle to disable a pair if the answer is outdated or incorrect — disabled pairs are excluded from AI training.
Q&A pairs are always listing-specific because guest questions are usually about that particular property.
What else does the AI use as context?
In addition to your Quick Replies and Q&A pairs, the AI looks at the listing's details (title, description, amenities), your active automated message rules, and the previous messages in the conversation thread. Anything you set up in Host Tools is fair game for training context.
