Summary
You can cancel a reservation from Host Tools without going to the channel first. Other channels are not included yet. To cancel a reservation from a channel that is not on this list, cancel it on that channel, and the change comes back to Host Tools with your next sync.
Two other things decide whether you see the option:
Your role needs full permission to edit reservations. If you can add and edit reservations, you can cancel them.
The stay must not be over. A reservation whose check-out has passed in the listing's time zone can no longer be cancelled — there is nothing left to cancel. A stay that is underway can still be cancelled.
Cancelling a reservation
Open the reservation from your calendar or your inbox.
Click the trash icon in the reservation details, labelled Cancel reservation.
Confirm. For a reservation you added yourself or a direct booking, that is all — the reservation is cancelled, and its dates are freed up.
⚠️ Cancelling cannot be undone from Host Tools. If you cancel by mistake, add the reservation to your calendar again.
Cancelling an Airbnb reservation
Airbnb needs to know why you are cancelling, so Host Tools opens a short form instead of a plain confirmation.
Reason — pick from the list. Host Tools asks Airbnb which reasons it will accept for this particular stay, so the list you see is the one Airbnb currently allows.
Message to guest — some reasons require an explanation of 30 to 240 characters, and the field says so when it does. On every other reason it is optional.
Message to Airbnb — an optional private note. Your guest does not see it.
Click Cancel reservation to confirm, or Keep reservation to back out.
If Airbnb will charge you a penalty for this cancellation, the amount appears in the dialog before you confirm.
⚠️ Airbnb is told that you cancelled as the host. Host cancellations usually block the dates on Airbnb and can affect your Superhost status, and they cannot be undone from Host Tools.
Frequently asked questions
Why is there no Cancel reservation option on this reservation?
Either the stay has already checked out, the reservation is already cancelled, it came from a channel that does not support cancelling from Host Tools yet, or your role does not have full permission to edit reservations.
Airbnb says it is not offering host cancellation right now. What does that mean?
Airbnb stops offering host cancellation once a stay is about to start or is already underway. That is Airbnb's rule, not an error in Host Tools. Cancel the reservation on Airbnb directly instead.
Do the dates free up after I cancel?
Yes, for a reservation you added yourself and for a direct booking. For an Airbnb cancellation, Airbnb decides — a host cancellation usually leaves the dates blocked on Airbnb.
Can I cancel a stay that has already started?
Host Tools allows it right up until check-out. Airbnb may not offer host cancellation that close to the stay, in which case cancel on Airbnb directly.
