What is a template message rule?

How Host Tools' suggested template message rules work, and how to enable, edit or remove them.

Host Tools gives you a ready-made set of message rules so you can start automating guest and cleaner messages without writing anything from scratch. These suggestions are called templates. A template sits in your message rule list as a starting point, and it never sends a message to anyone until you enable it.

Spotting a template in your list

Click Messaging in the header menu and choose a listing or a listing group. Templates appear in the same list as your own rules, marked with a Template badge and a neutral dot, and they sit after your own rules within each event group. On a single listing's page, a template that covers every listing shows as All Listings and Template together.

Turning a template into your own rule

Use the buttons on the right of the template to put it to work. There are two ways to do it:

  • Click Enable Message Rule to start sending it exactly as written.

  • Click Edit message rule to change the wording, the timing or the channel first, then click Save.

Either way, the template becomes one of your own active message rules. From that point it behaves like any rule you wrote yourself: you can pause it, copy it, preview it or delete it, and it no longer carries the Template badge.

💡 Edit the template before enabling it if it mentions details such as your check-in instructions, your door code or your cleaner's email address.

Removing a template you don't need

If a suggestion doesn't suit your listings, click Remove template on the right of the rule and confirm. It disappears from your message rule list and stays gone. Removing a template never affects the rules you wrote yourself.

Which templates do I see?

Templates cover the moments most hosts automate first, including booking confirmations, inquiry replies, check-in and check-out messages, review requests and cleaner notifications. Most of them are offered on the All Listings group so they cover your whole portfolio, and the Check-In Rule is offered on each individual listing so you can give every property its own arrival instructions.

You only ever see the templates you haven't acted on yet. Once you enable, edit or remove one, it stops being offered.

Does a template send messages to my guests?

No. A template is only a suggestion sitting in your list. Nothing is sent to a guest or a cleaner until you enable it or edit and save it.
